If we learn that we have collected personal information from individuals under the relevant legal age without proper consent, we will take steps to delete such information.
Sensitive information. Personal information such as ethnicity, religious and political opinions, and information relating to your health or sexual life has a higher degree of legal protection. Such information is known as sensitive information or personal information of special categories. We do not generally seek to process such personal information, but if we strictly need to (e.g. in the employment contexts), we will do so in accordance with applicable legal requirements and ask for your consent, if required.
Our use of your information
We process your personal information for specific reasons (purposes). Also, we may need to have specific grounds (also known as legal bases) to process your personal information.
We may process your personal information for one or more of the following purposes:

- To comply with legal obligations, including record-keeping and responding to lawful requests from public authorities
- To ensure the security and integrity of our website and services, and to detect or prevent fraud
- To carry out other activities with your consent, where applicable; in such cases, we will explain the purpose at the time consent is requested.
We may use your personal information for other purposes that are consistent with the reasons we collected it and as permitted by law.
Certain data protection laws require businesses to have legal grounds for processing personal information. Where applicable law requires us to justify our processing activities, we rely on the following legal grounds:
- Performance of a contract: we may need to collect and use your personal information to enter into or perform a contract with you
- Your consent: where required by law, we will obtain your consent before processing your personal information. For example, some laws require consent for direct marketing or for collecting information from your device. You may withdraw your consent at any time by contacting us

Where we need to collect personal information by law or in order to process your instructions or perform a contract we have with you, and you fail to provide that information when requested, we may not be able to carry out your instructions or perform the contract we have or are trying to enter into with you. In this case, we may have to cancel our engagement or the contract you have with us, but we will notify you if this is the case at the time.

This includes transfers between our offices in New Zealand, Cyprus, and Costa Rica, as well as to other countries where our service providers operate. All such transfers are carried out in accordance with this Privacy Statement and applicable data protection laws. Where required, we rely on mechanisms such as adequacy decisions, EU Standard Contractual Clauses, or other approved safeguards to ensure appropriate protection of your information.
How long do we store personal information?
We retain personal information for as long as necessary to provide our services, respond to inquiries or proposals, maintain contact with you, and comply with applicable legal, regulatory, and contractual obligations. We implement appropriate technical and organisational measures to protect personal information against unauthorised access, misuse, alteration, or loss. These measures include data encryption, access controls, secure server infrastructure, pseudonymisation, and regular security audits.
When engaging third-party service providers, we conduct supplier risk assessments to evaluate their compliance with applicable data protection laws and security standards. This helps ensure that personal information is stored and processed securely, in line with our obligations and industry best practices.
